Town Of Dedham - Information Re: Property Tax Invoices

The Dedham Treasurer/Collector Office was made aware of an email notification sent directly to InvoiceCloud subscribers on January 10, 2023 stating a new invoice was due by 01/31/23 for the total amount of FY23 3rd and 4th quarter property taxes, instead of just 3rd quarter. By 10:06 a.m. on January 10, the balance due was corrected to show just the 3rd quarter taxes and all InvoiceCloud subscribers were sent a follow-up email with the correct amount on January 11, 2023.

We apologize for the confusion and have provided answers to questions we have received to date regarding this error:

Was the invoice error made by the Town or by InvoiceCloud?

The total amount for 3rd quarter and 4th quarter property taxes was sent in error to InvoiceCloud for billing and payment processing by our third-party systems administrator. The file was not generated by the Town. Quarterly tax bills are sent to InvoiceCloud on a recurring schedule throughout the year and is not initiated by the Treasurer/Collector Office.

When was the Town first made aware of the error?

The initial email notification from InvoiceCloud was sent at 2:30 a.m. on January 10, 2023, and staff was contacted by property owners at 8:30 a.m. that same morning. The Town then immediately contacted InvoiceCloud and the error was fixed by 10:06 a.m.

Was the error fixed? If so, when?

Yes, the error was corrected and updated in InvoiceCloud to show just the 3rd quarter property tax amount due at 10:06 a.m. on January 10, 2023.

Were people notified of the correction and provided a new invoice?

Yes, InvoiceCloud subscribers received a “revised” bill via email notification on January 11, 2023. Subsequently, a second follow-up email was sent to subscribers on January 15, 2023 to show just the 3rd quarter tax bill as due by February 1, 2023.

What about the paper bills that were mailed out?

The paper invoices that were mailed out to property owners on December 30, 2022 were not impacted by this error and show the correct amount for FY23 3rd quarter taxes ONLY. In addition, the PDF copies of the invoices uploaded to InvoiceCloud were also not impacted and have shown just the 3rd quarter tax amount due.

Who can I speak to if I still have questions or concerns about my bill?

All property owners are encourage to check their balance online (https://www.dedham-ma.gov/departments/finance/treasurer-collector/pay-a-bill-online, and select “Personal Property Tax”) and to call the Treasurer/Collector Office at 781-751-9160 to speak with a member of staff.

I did not receive any emails from InvoiceCloud. How do I sign up to receive these notifications?
